Cal ID to Zoom Integration

Install Zoom and set it as the meeting location for your event types so every booking gets a Zoom link.

| Install Zoom

Open the Cal ID App Store.

Search for Zoom and click Details.

Click Install App.

Sign in to your Zoom account (if prompted) and allow the requested permissions.
You're redirected to Installed Apps with the Conferencing tab selected, where Zoom Video now appears.

| Make Zoom your default (optional)

Click the three dots next to a conferencing app and set it as default — every new event will use it automatically unless you change it.

Open your event type settings and add Zoom Video as the location (see Set Event Location). Click Save, and your meetings will use Zoom.

Complete your Cal ID Onboarding

Accepted Answer

Create your Cal ID account and set up your profile, calendar, and video apps so you're ready to take bookings. Start at cal.id/signup and pick how you'd like to sign up.

Your email is verified instantly and you go straight to onboarding.

Open the verification email from Cal ID (check Spam too).

Click the link inside to verify — then you're taken to onboarding.

Timezone: your local timezone, so meeting times are accurate.

Question 3

Event Buffers or Break between the Events

Event buffers add padding before or after your meetings so you're never booked back-to-back — time to prep, breathe, or wrap up notes. Guests can't book these blocked periods.

Avoid exhaustion: no back-to-back calls with no break.
Prep & wrap-up: a "before" buffer to prepare, an "after" buffer to finish notes.
Travel time: get between in-person locations.

| Set up buffers

Open Event Types and click the event.
Open the Limits tab.
Set Before event and/or After event buffer minutes.

Click Save.

| How it works

Invisible to guests: buffered times simply show as unavailable.
Automatic: a 30-minute meeting with a 15-minute "after" buffer blocks 45 minutes total.
Multiple durations: the buffer applies to whichever length the guest picks.
Team events: buffers apply to the specific team member booked.

Note: buffers apply around busy times, not to the very start or end of your working day. So a 9:00–10:00 slot at the start of the day isn't pushed later by a "before" buffer — but if the adjacent slot is booked, the buffer blocks the neighboring slot to protect the gap.

A common setup is a 5-minute "before" buffer for quick prep and a 10-minute "after" buffer for follow-up.

Integrate WhatsApp Business

Integrating WhatsApp Business with Cal ID lets you trigger notifications and reminders from your own business number.

| Step 1: Install the app

Log in to Cal ID and open the Apps section.
Search for WhatsApp Business and install it.
Choose where to install it: a Personal account (individual use) or a Team account (team collaboration).

Click Connect WhatsApp Business to proceed.

On the confirmation screen, click Continue.

Create Availability in Cal ID

Your availability schedule is the foundation of your calendar. By defining your active hours, you stay in full control of your time — meetings only happen when you're free, and your personal time stays protected.

You can give each event type its own schedule, reuse one schedule across several, or share a single schedule everywhere — whatever keeps your event types organized.

On your dashboard, open Availability from the left-hand menu.

|| Create or edit a schedule

You're not limited to one set of hours — create multiple schedules for different needs.

New schedule: click + New and give it a name.
Edit a schedule: click the schedule's name to open it.

|| Confirm your timezone

Check the timezone at the top of the page before setting hours, so booked times line up with your local clock.

|| Set your weekly hours

Toggle days on or off with the switch next to each day.
Set your times — for example, 9:00 AM to 5:00 PM.
Add a break by clicking the + icon to add a second slot on the same day. For example, 9:00 AM–12:00 PM and 1:00 PM–5:00 PM keeps you unbookable from 12:00–1:00.

Round-Robin Scheduling

Round-robin scheduling creates a team event type with a pool of hosts and automatically assigns each booking to the next available host in rotation — balancing workloads and skipping anyone who's busy.

| How hosts are chosen

Cal ID computes the union of available slots across all hosts, then assigns the booking to the highest-priority (or weighted) host who's free, skipping unavailable ones.

| Priority ranking

Every host has a priority (default: Medium). When several hosts are free for a slot, the higher priority is booked first; ties go to the least recently booked host.

For example, if John and Jane are both free but John is High and Jane is Medium, John is booked. If priorities are equal, the least recently booked host is chosen.

| Weights

Weights are optional and must be enabled. Every host defaults to 100%, meaning bookings should end up roughly equal (hosts with less availability may still get fewer). Only confirmed bookings count.

Example: Jane has 100% weight and 8 bookings; John has 200% weight and 12 bookings. If both are free, the next bookings go to John until he reaches 16.
