Scheduling a One-Time Group Event (Webinars & GDs)

In Cal ID, combine Offer Seats with availability rules to host a one-time event — a webinar or group discussion — so many people can book the same time slot.


Why use this setup


  • Host large groups: many guests join a single session.
  • Lock in a time: the event happens only when you want, hiding your other availability.
  • Control capacity: cap the number of attendees.


How to set it up


1. Enable group seating


  1. Open Event Types, select the event, and click Edit.
  2. Go to the Advanced tab.
  3. Toggle Offer seats ON and enter the number of participants (e.g., 50).



2. Pick the date


  1. In the Limits tab, find Limit future bookings.
  2. Choose the specific date or date range — this hides all other days so guests only see the event day.



3. Set the exact time slot


  1. Open the event type's Availability tab and click Edit.
  2. Add a Date Override for the event day.
  3. Set the specific start and end time (e.g., 3:00–4:00 PM).
  4. For multiple sessions the same day, add more time ranges to the override.
  5. Click Save.



What the booker sees


  • Limited calendar: most dates are greyed out — only your chosen date(s) are clickable.
  • Specific slots: only the times from your Date Override appear.
  • Seats remaining: the page can show remaining seats, adding urgency.
  • Confirmation: on booking, the seat count for that slot drops by one.



💡 Tip


Because you set a date range in Limit Future Bookings and a Date Override for the time, all seats funnel into one specific slot — a clean, locked webinar setup everyone joins at once.
