Attendee calendar invite status
Overview
The Attendee calendar invite status setting controls how attendees are added to the calendar invitation for an event.
There are two options:
- Needs response — Attendees receive a calendar invitation and are asked to respond.
- Accepted — Attendees are added to the calendar as already accepted, so they do not need to respond to the invitation.
Important: Organizers are always marked as accepted. Additional guests need to respond, according of this setting.

You can find Attendee calendar invite status in the Advanced tab of an Event Type.

Needs response
When Needs response is selected, attendees receive a calendar invitation with a response required.
The attendee can respond to the invitation from their calendar application, such as by accepting, May be, or declining the event.
What happens?
- The attendee receives a calendar invitation.
- The attendee is expected to respond to the invitation.
- The attendee's calendar invitation initially requires a response.
- The organizer is always considered accepted and is not affected by this setting.
Example
If an event has Needs response selected and a customer books an event:
The customer receives a calendar invitation and can choose whether to accept or decline it.

When should I use Needs response?
Use this option when you want attendees to explicitly confirm whether they will attend the event.
Accepted
When Accepted is selected, attendees are added to the calendar as already accepted.
The attendee does not need to manually accept the calendar invitation because they are considered accepted automatically.
What happens?
- The attendee is added to the calendar as accepted.
- The attendee does not need to respond to accept the invitation.
- The organizer is always accepted.
- Additional guests still need to respond.
Example
If an event has Accepted selected and a customer books an event:
The customer is automatically added to the calendar as an accepted attendee.

When should I use Accepted?
Use this option when you want attendees to be considered confirmed on the calendar automatically and do not want them to manually accept the calendar invitation.
Organizers
Organizers are always accepted, regardless of which attendee calendar invite status is selected.
Changing this setting does not change the organizer's status.
Additional guests
Additional guests always need to respond.
This means that if an attendee adds other guests to the event, those additional guests are not automatically marked as accepted by this setting. They must respond to their calendar invitations.

What does "Attendee calendar invite status" mean?

Does this setting control whether the event itself is confirmed?
No. This setting controls the attendee's calendar invitation status. It does not mean that the event booking itself is canceled, pending, or confirmed.
