Reassigning a Team Booking (Round Robin)

In a Team Round Robin event type, meetings are automatically distributed among available team members. However, if the assigned host becomes unavailable due to an emergency, shift change, or scheduling conflict, you can easily hand over the booking to another qualified team member without canceling the meeting.

1. Go to Bookings: Click on the Bookings tab in your left-hand sidebar menu.
2. Locate the Meeting: Find the specific team booking you want to update under your Upcoming appointments list.
3. Open the Actions Menu: Click on the three dots (...) located on the far right side of that booking row.
4. Select Reassign: From the dropdown menu, click on the Reassign option.

A popup window titled "Reassign round robin host" will appear, offering you two distinct methods to handle the shift:

Select this if you want Cal ID's smart algorithm to handle the reassignment for you.

• Select the Round Robin radio button.
• How it works: The system will automatically scan the calendars of all remaining team members assigned to that event type for that specific time slot. It then dynamically drops the meeting onto the next available person based on your round-robin distribution rules.

Select this if you need a specific teammate to take over the meeting.

• Select Manually reassign round robin host.
• How it works: A "Select team member" search bar will expand below. You can scroll through the list or type their name to pick the exact team member you want to take over the call

• The original host can also specify a reason for reassigning this booking to another host who is currently available.

1. Once you have made your choice, click the blue Reassign button at the bottom of the modal window.
2. Automated Notification: The moment the reassign button is clicked, Cal ID triggers updated email alerts.
3. • The previous host is notified that the slot has been removed from their calendar.
   • The new host receives a notification with all the meeting notes, location links, and details so they are prepared.
   • The attendee's calendar is updated smoothly in the background without requiring them to rebook.
