Canceling and Rescheduling Bookings
As a host, Cal ID gives you full control over your scheduled appointments. You can easily cancel a meeting, pick a new time yourself, or send a quick request to your attendee asking them to select a better time.
Furthermore, your attendees also have the flexibility to manage their own appointments directly from their inbox if you allow it. Any updates made by either party will automatically trigger an updated email notification to both the host and the attendee.
Hosts can manage changes using two simple methods: the Bookings Tab or the visual Unified Calendar.
Method A: Using the Bookings Tab
- Navigate to Bookings: Click on the Bookings tab in your left-hand sidebar.
- Open the Actions Menu: Locate the specific booking under your Upcoming list and click the three dots (...) on the far right.
- Select Your Action:
- To Reschedule Yourself: Click Reschedule booking. Select a new date and time from your calendar, add an optional reason note, and confirm.
- To Cancel the Event: Click Cancel event. You can enter a brief cancellation note explaining why the meeting is being called off before finalizing it.
- To Ask the Attendee to Reschedule: Click Request reschedule. This sends an automated email directly to the attendee containing a private link so they can choose a new time slot that works for them.

Method B: Using the Unified Calendar
- Go to Calendar: Click on the Calendar option in your left-hand sidebar.
- Reschedule via Drag-and-Drop: Simply click and hold the scheduled meeting block. Drag it to a new day or a different hour slot on your calendar grid, then release your mouse.
- Cancel via the Calendar Block: Click directly on the meeting block to view its quick details pop-up, then click the Cancel button. Provide an optional cancellation reason and hit confirm.

Attendees do not need a Cal ID account to reschedule or cancel a meeting. They can manage their booking completely through email communication.
- Locate the Confirmation Email: The attendee must open the booking confirmation email (or any subsequent reminder emails sent via workflows) that they received after scheduling the meeting.
- Find the Action Links: Inside the email, there will be dedicated links or buttons to Reschedule or Cancel.
- Host Permissions Warning:
- Note: These options are only visible and accessible to the attendee if the host has enabled cancellation and rescheduling privileges in the Event Type settings. If the host has turned these settings off, the links will not appear, and the attendee must contact the host directly to request changes.
- Process Changes: Clicking Reschedule will open the host's booking page to pick a new slot, while clicking Cancel will allow them to submit a cancellation reason and clear the slot.
