Customizing Your Workflow Messages

A custom template gives you full control over how your reminders and notifications look — sender name, subject, and body.


Turn on customization


In the Message template field, select Custom from the dropdown. This unlocks the sender name, subject, and email body for editing.



Personalize the sender


Change the Sender Name to your own name, your company, or a specific department to build trust with attendees.



Craft the subject line


The subject is the first thing attendees see:


  • Write a clear, relevant subject from scratch.
  • Use the Add variable dropdown to drop in {EVENT_NAME} or {ATTENDEE} so it stands out in a busy inbox.



Use variables


Use the Add variable dropdown in the Subject and Email Body to keep every message personal and accurate. Commonly used:


  • {EVENT_NAME} — the meeting title
  • {EVENT_DATE} — the session date
  • {LOCATION} — the address or meeting details
  • {MEETING_URL} — the video call link (Zoom, Google Meet, etc.)
  • {ATTENDEE} — attendee's full name
  • {ATTENDEE_FIRST_NAME} — attendee's first name
  • {ATTENDEE_LAST_NAME} — attendee's last name
  • {ORGANIZER_NAME} — the organizer's name
  • {CANCEL_URL} — cancellation link
  • {RESCHEDULE_URL} — reschedule link
  • {ATTENDEE_TIMEZONE} — attendee's timezone


Note: SMS workflow templates can't be customized. To customize WhatsApp messages, integrate WhatsApp Business.
