User-Level Booking Limits
Overview
User-Level Booking Limits let you control the maximum number of bookings you are willing to accept across all event types in your Cal ID account.
Instead of configuring limits separately for every event type, you can define account-level limits such as:
- Maximum 2 bookings per day
- Maximum 10 bookings per week
- Maximum 30 bookings per month
- Maximum 100 bookings per year
These limits help you manage your overall meeting load and protect time for focused work.
Important: User-level booking limits apply to you as a host across your event types. They are configured from Settings → General, not from an individual event type.
User-level booking limits are account-level controls that restrict how many confirmed bookings you can receive during a specific time period.
The limits are applied across your entire account.
For example, suppose you have these event types:
- 30-minute meeting
- 60-minute consultation
- Product demo
- Interview
If your account has a daily limit of 3 bookings, the combined number of bookings across all four event types cannot exceed 3 for that day.
Once the account-level daily limit of 3 is reached, additional slots will no longer be available for booking on that day.
User-level limits are useful when you want to control your total meeting workload, rather than the number of bookings for one particular event type.
Common use cases
- Limit meetings per day
You want to accept no more than 4 meetings per day, regardless of which event type people book.
- Protect focused work
You want to prevent your calendar from becoming overloaded with meetings and reserve time for deep work, projects, or other responsibilities.
- Manage multiple event types
You have several event types and don't want to configure or maintain a separate overall limit for each one.
- Set longer-term capacity
You may want to limit the number of meetings you accept during an entire week, month, or year.
You can configure limits for one or more time periods.
Period | What it controls |
|---|---|
Per day | Total confirmed bookings on a single calendar day |
Per week | Total confirmed bookings within a calendar week |
Per month | Total confirmed bookings within a calendar month |
You can use any combination of these limits.
For example:
4 per day + 15 per week + 50 per month
This means you can accept a maximum of 4 bookings on any individual day, while also being restricted to 15 bookings during the week and 50 during the month.
When booking limits are enabled, Cal ID checks your existing confirmed bookings before making a slot available.
If the limit has not been reached
The slot can be shown as available and a visitor can book it.
If the limit has been reached
The slot is removed from the booking page and cannot be booked.
This happens automatically based on the configured limit.
Example
Your settings:
- Daily limit: 2 bookings
- Weekly limit: 8 bookings
You already have two confirmed bookings on Monday:
10:00 AM — Client meeting
2:00 PM — Consultation
Because your daily limit is 2, additional bookable slots for Monday will not be available.
However, Tuesday can still have availability as long as the weekly limit has not been reached.
If you configure multiple limits, all of them are enforced simultaneously.
For example:
- Per day: 4
- Per week: 15
You can accept up to 4 bookings on an individual day, but you cannot exceed 15 bookings during the week.
Example:

Weekly total: 15
Even though Friday may have available time on your calendar, the weekly booking limit has already been reached. Additional slots are therefore unavailable.
When multiple time periods are configured, the higher-level period should not allow fewer bookings than a lower-level period.
For example:
Valid configuration
- Per day: 4
- Per week: 20
- Per month: 80
This configuration provides progressively larger capacity as the time period increases.
Invalid configuration
Per day: 5
Per week: 3
This would be contradictory because the account could theoretically accept 5 bookings in a single day while the weekly limit only allows 3.
Therefore, the longer-period limit should be greater than or equal to the applicable shorter-period limit.
User-level booking limits are located in:
Settings → General → Booking Limits

These are not configured inside an individual event type because this is User level limits.
Navigation
- Open your Cal ID dashboard.
- Go to Settings.
- Select General.
- Locate Booking Limits.
- Enable the booking-limit toggle.
- Add the desired limits.
- Enter the maximum number of bookings.
- Select the corresponding period.
- Click on Update.
Step 1: Open General Settings
Go to: Settings → General
The General settings page contains account-level configuration options.
Step 2: Enable Booking Limits
Find the Booking Limits section.

Turn on the toggle to activate the feature.
When enabled, Cal ID will begin enforcing the configured account-level booking limits.
Step 3: Add a Limit
Click Add Limit.
You can then configure a limit using:
- Maximum number of bookings
- Time period
For example:
2 → Per day
This means you can accept a maximum of 2 confirmed bookings per day.

Step 4: Add Additional Limits
You can add multiple limits.
For example:
2 → Per day
10 → Per week
30 → Per month

Each configured limit works together with the others.
Step 5: Remove a Limit
If you no longer need a specific limit, use the delete icon next to that limit.
For example, if you have:
2 → Per day
10 → Per week
30 → Per month
and remove the weekly limit, the account will continue enforcing the daily and monthly limits.
Step 6: Save the Changes
After configuring your limits, click Update to apply the changes.
The new limits will then be used when determining booking availability.
Cal ID provides two different levels of booking-frequency control.

Example
You have a Product Demo event type with an event-level limit of:
10 bookings per day
But your account-level limit is:
5 bookings per day
The effective maximum is 5 total bookings per day, not 10.
The account-level limit therefore acts as an overall cap.
If you want to configure a booking limit for one specific event type, rather than applying a limit across all your event types, refer to the Event type Booking Frequency documentation for instructions on enabling and configuring event-type booking limits.
When both user-level and event-type limits are configured, both restrictions are enforced.
Consider this setup:
User-level limit
Maximum 5 bookings per day
Product Demo event limit
Maximum 10 Product Demo bookings per day
Even though the Product Demo event type permits 10 bookings, you cannot receive more than 5 total bookings across your account.
Similarly, if you have:
User-level
Maximum 10 bookings per day
Product Demo
Maximum 3 bookings per day
You can receive at most:
- 3 Product Demo bookings
- Up to 10 total bookings across all event types
So the effective limit for each event is determined by both applicable restrictions.
If you are part of a team and your configured user-level booking limit has already been reached, no new booking will be scheduled with you as the host.
This applies even when the booking is associated with a team event. Once your applicable booking limit is reached, you will no longer be considered available to host additional bookings until capacity becomes available again.
Booking limits are based on your confirmed bookings for the relevant period.
The system checks your booking count when determining whether a slot should remain available.
Important distinction
The limit is about the number of bookings, not simply the amount of time occupied on your calendar.
For example:
- A 15-minute meeting counts as a booking.
- A 60-minute meeting counts as a booking.
Both represent one booking toward the configured booking-frequency limit.
Booking limits affect what visitors see on your booking pages.
Before the limit is reached
Available slots will be visible for bookings.
After the limit is reached
Additional slots within the affected period are no longer available for booking.
This allows the booking system to enforce your capacity automatically rather than requiring you to manually remove availability.
In Short:
User-Level Booking Limits give you one account-wide control for managing how many meetings you accept across all your event types, helping you protect your time and prevent meeting overload.
