Integrating Cal ID with Zapier

Zapier lets you build "Zaps" that connect Cal ID to thousands of other apps, automating repetitive tasks.


Step 1: Generate your Cal ID API key


Linking Cal ID to Zapier needs an API key as a secure bridge.


  1. Log in to Cal ID and open the Apps tab.
  2. Search for Zapier and open its Details.



  1. Click Install and select the account.




  1. On the API page, you'll see your Personal Account and any Teams where you're an Admin or Owner.



  1. Click Generate API Key for the account or team you want to automate.



  1. Copy the key immediately and store it safely.


Warning: for your security, Cal ID will never show this key again once you leave or refresh the page.


Step 2: Connect Cal ID in Zapier


  1. In Zapier, click Create Zap.



  1. Set the trigger: search for Cal ID.




  1. Choose a trigger event such as Booking Created.



  1. Link your account — when prompted, paste your API key and click Yes, Continue to Cal ID.




  1. Click Continue — Zapier tests the connection against a recent booking.


Step 3: Add an action


Choose what happens next with your booking data:


  • Email marketing: add attendees to Mailchimp or ActiveCampaign.
  • Spreadsheets: log bookings in Google Sheets or Airtable.
  • Team chat: post to Slack or Microsoft Teams.
  • CRM: update HubSpot, Pipedrive, or Zoho CRM.


Click Publish to make your Zap live.


Troubleshooting


  • Key not working? Check for an accidental extra space at the start or end of the API key.
  • Team events: make sure you generated the key for that Team, not just your personal account.
