Integrating Cal ID with Zapier

Zapier is an automation tool that lets you create "Zaps"—workflows that connect Cal ID to over other apps. By integrating Cal ID with Zapier, you can automate repetitive tasks.


Step 1: Generate Your Cal ID API Key


To link Cal ID to Zapier, you need a unique API Key (Secret Key) that acts as a secure bridge between the two platforms.


  1. Go to Apps: Log in to your Cal ID dashboard and click the Apps tab in the left sidebar.
  2. Find Zapier: Search for "Zapier" and click on the app card to view Details.



  1. Install: Click the Install button and select the account you want to use.




  1. Access the API Page: You will be redirected to the API management page. Here, you will see sections for your Personal Account and any Teams where you have Admin or Owner permissions.



  1. Generate the Key: Click the Generate API Key button for the specific account or team you wish to automate.



  1. Copy and Secure: A long string of characters (the API Key) will appear.
    • Action Required: Copy the key immediately and paste it into a safe password manager or document.
    • ⚠️ Warning: For your security, Cal ID will never show this key again once you leave or refresh the page.



Step 2: Connect Cal ID in Zapier


  1. Log in to Zapier: Go to Zapier.com and click Create Zap.



  1. Set the Trigger:
    • Search for Cal ID in the "App Event" search bar.




  • Choose a Trigger Event, such as "Booking Created" (this starts the automation whenever someone schedules a call).



  1. Link Your Account:
    • Zapier will ask you to "Connect a new account."



  • A new window will pop up asking for your API Key.



  • Paste the key you saved from Cal ID and click Yes, Continue to Cal ID.


  1. Test the Trigger: Click on Continue and Zapier will look for a recent booking in your Cal ID account to make sure the connection is working perfectly.


Step 3: Add an Action (Where the data goes)


Now that Zapier is receiving data from Cal ID, you can choose what happens next:

  • Email Marketing: Add new attendees to Mailchimp or ActiveCampaign.
  • Spreadsheets: Log every booking automatically in Google Sheets or Airtable.
  • Team Chat: Post a notification in a Slack or Microsoft Teams channel.
  • CRM: Update a deal or contact in HubSpot, Pipedrive, or Zoho CRM.

Finally, click "Publish Zap" to make your automation live!


Quick Troubleshooting Tips


  • Key Not Working? Ensure you didn't accidentally copy an extra space at the beginning or end of the API key.
  • Permissions: If you are automating a team event, make sure you generated the API key specifically for that Team section, not just your personal account**.**
