Integrate Cal ID to Zoho CRM

Connecting Cal ID with your Zoho CRM automatically logs scheduled appointments, tracks client data, and creates contacts in real time. This native integration ensures your sales pipeline stays current without manual database updates.


Step 1: Installing Zoho CRM in Cal ID


  1. Log in to your Cal ID dashboard.
  2. Click on the Apps tab in the left-hand sidebar.
  3. Search for ZohoCRM in the App Store directory.



  1. Click the Install App button.



  1. Select Destination Account: A window will open asking where you want to deploy the integration.
  • If you want to connect a team booking asset, pick the specific team from the list.
  • If you are managing personal appointments, select your personal profile.



Step 2: Authorizing and Configuring Event Types


  1. After choosing your account, you will be securely redirected to the Zoho CRM login portal. Log in using your CRM credentials.



  1. Grant permissions to allow Cal ID to sync activities with your Zoho environment.



  1. Map Event Types: Once authorized, a configuration page will show up asking: "On which event type do you want to install Zoho CRM?"
  • Configure Now: Choose the desired event types to instantly map them to Zoho tracking.
  • Configure Later: You can skip this part during installation. If you choose to skip, later on just go to Event Types, click Edit on any individual event, open its Apps tab, and toggle the Zoho integration on manually.



  1. Upon completing the steps, the app will finish installing and confirm a successful connection.


Step 3: How Data Syncs in Zoho CRM


Once the setup is live, any new booking made through an active Cal ID event type will instantly send information to your Zoho CRM account.


A. Automated Contact Creation


  • For Existing Contacts: If a person who is already in your Zoho database books a meeting, Cal ID will automatically find their contact and attach the new meeting record to it.
  • For New Contacts: If a new person books a meeting using an email address that is not in your system, Zoho CRM will automatically create a brand-new Contact record for them. You can find all of these profiles under the Contacts tab in your left-hand sidebar menu.


B. Finding Your Scheduled Meetings


To see your synced appointments inside your Zoho dashboard, follow these simple steps:

  1. Look at the left-hand main menu in Zoho CRM and look for Modules section.
  2. From the list of options in the sidebar, click on Meetings.
  3. You will now see your complete list of upcoming and past appointments on the All Meetings dashboard table.



Step 4: Looking at Meeting Details


To see more information about a specific booking, simply click on the Title of meeting name inside your Zoho CRM list. A page will open up showing all the details Cal ID collected from the booker, including:

  • Contact Information: The booker's full name, email address, and phone number.
  • Meeting Link: The unique meeting URL generated for the call.
  • Custom Questions: All the answers to the additional booking questions you set up in Cal ID (such as company name, goals, or notes) will be cleanly saved right inside the meeting details.


Extra Tips for Using Zoho CRM


  • Match Your Emails: Make sure your team members use the exact same email address on both Cal ID and Zoho CRM. This ensures that when a meeting is booked, Zoho knows exactly which team member to assign as the meeting host.
