Cal ID Rooms

Cal ID Rooms is Cal ID's built-in video conferencing — host meetings directly from your booking page, with no third-party platform. Every meeting opens securely inside Cal ID, keeping scheduling, meetings, and recordings in one place for client calls, interviews, demos, and team syncs.

Features

On all plans:

  • HD video and audio
  • Screen sharing
  • In-call chat
  • Secure meeting access
  • Meetings hosted inside Cal ID
  • An automatic meeting room for every booking

On Business & Enterprise plans:

  • Meeting recording, playback, and download
  • Secure recording storage

How it works

Unlike platforms that reuse a permanent link, Cal ID Rooms creates a unique room for each booking. When a booking uses Cal ID Rooms:

  • A unique meeting URL is generated for that booking.
  • The room opens when the first participant joins.
  • Access is limited to that booking — no permanent links that could be shared by accident.

Install Cal ID Rooms

  1. Log in to Cal ID and open Apps.
  2. Search for Cal ID Rooms and open it.
  3. Click Install.

  1. Choose the Personal or Team account to install it on.

  1. Cal ID lists that account's event types. Select the ones where you want Cal ID Rooms as the location, or click Set Up Later.

Set Cal ID Rooms as your meeting location

  1. Go to Event Types and open the event type.
  2. Open the Event Setup tab.
  3. In the Location field, select Cal ID Rooms.

  1. Click Save.

Every new booking for that event type gets a Cal ID Rooms link automatically, and hosts and attendees join right from the booking.

Note: existing bookings keep their original location. To switch one, go to Bookings, open it, click Edit Location, select Cal ID Rooms, and save.

Recording meetings

Recording is available on Business and Enterprise plans, when the event type uses Cal ID Rooms and you're a host.

  1. Join the meeting.
  2. Click Record (top right) to start.

  1. Click Stop Recording when finished — it processes automatically after the meeting.

View and download recordings

  1. Go to Bookings and open the recorded meeting.
  2. Click the three-dot (⋮) menu and select View Recording.

  1. Watch it online or download it. Each recording stays attached to its booking.

Storage: recordings stay available while you're on a Business or Enterprise plan. If you downgrade to free, existing recordings are kept for 90 days, then permanently removed.
