# Setting Up Routing Forms in Cal ID

| Overview
**Routing Forms** in Cal ID help you direct each person to the right booking destination based on the information they provide.

A Routing Form works like a questionnaire. The person filling out the form answers a series of questions, and Cal ID uses those answers to determine where they should go next.

Depending on the routing rules, a booker can be directed to:
* A specific **Event**
* A **Custom Page**
* An **External Website**

This is useful when different people need to be directed to different booking options.

### Example
Suppose you offer:
* Sales Consultation
* Technical Support
* Career Counselling

Instead of asking everyone to choose the correct booking page manually, you can create a Routing Form:

> **What do you need help with?**
>
> * Sales → Sales Consultation
> * Technical Support → Support Event
> * Career Counselling → Career Counselling Event

The Routing Form automatically sends the booker to the appropriate destination.

# Creating a Routing Form
## Step 1: Open Routing
1. Log in to your Cal ID account.
2. Open **Routing** from the left-hand sidebar.
3. Click **+ New**.

## Step 2: Choose Form Ownership
If you are part of a team, you can choose whether the Routing Form belongs to:
* **Personal**
* **Team**

Choose the appropriate ownership based on who should manage and use the form.

## Step 3: Add Form Details
The **Add new form** window allows you to provide basic information about the form.

### Title
Enter a name that clearly identifies the purpose of the form.
Examples:
* New Client Inquiry
* Sales Qualification
* Customer Support
* Career Counselling
* Event Registration

### Description
Add a short description explaining the purpose of the form.

The description helps you identify and manage the form and does not replace the questions that users will answer.

### Create
After entering the required details, click **Create**.

You will then be taken to the form builder.

# Routing Form Builder
After creating a Routing Form, you can design it from the **Form** tab.
The Form section is where you create the questions and configure the appearance of the form.

The form builder contains four main configuration areas:
* **Field**
* **Header**
* **Style**
* **Submit**

The form also contains other sections outside the builder for:
* Routing
* Responses
* Embed

# Form Fields
Form fields are the questions or elements that appear on the Routing Form.
The available field types are organized into categories.

## Input Fields
* Short Text
* Long Text
* Number
* Email
* Phone
* Address
* URL
* Date

## Selection Fields
* Dropdown
* Multi Select
* Radio Group
* Checkbox Group
* Single Checkbox

## Layout Elements
* Divider
* Heading
* Paragraph

When a field is selected, its available configuration appears in the **Field** panel.

Now you can start building your form by adding questions and selecting the appropriate input field type based on the information you want to collect from the booker.

# Short Text
The **Short Text** field is used when the respondent needs to enter a short, single-line answer.

### Common uses
* Name
* Company Name
* Job Title
* City
* Company
* Short answer

### Editable settings

| Setting | Description |

| **Label** | The question or name displayed for the field |
| **Identifier** | Internal name/key used to identify the response |
| **Placeholder** | Hint displayed inside the field before the user enters text |

# Long Text
The **Long Text** field is designed for longer, multi-line responses.

Unlike Short Text, it uses a textarea-style input that allows the respondent to enter multiple lines.

* Detailed questions

### Validation
The **Min. Characters** setting can be used to require a minimum amount of text.

The respondent must provide at least 50 characters.

# Number
The **Number** field is used when the respondent needs to enter some number

### Common uses
* Age
* Years of Experience
* Team Size
* Notice Period
* Target Revenue 
* Expected Salary

# Email
The **Email** field is used when the respondent needs to enter a email.

### Common uses
* What is your email address?
* What is your work email address?
* Where can we send you the interview details?
* What email should we use to contact you?
* Please enter your professional email address.

# Phone
The **Phone** field allows the respondent to provide a phone number.

### Editable settings

| Setting | Description |

| **Placeholder** | Hint displayed inside the phone field |
| **Input Style** | Controls the phone input style: Text or Picker |
| **Auto-detect country code** | Attempts to determine the country code based on the visitor's detected country |
| **Default country code** | Sets a configured default country code |
| **Required** | Makes the phone number mandatory or optional |
| **Help Text** | Additional instructions for the respondent |
| **Width** | Half or Full |

### Country code settings
**Auto-detect country code** and **Default country code** are separate settings.

For example:
* Auto-detect country code → ON
* Default country code → +91

The default country code provides a configured country code when appropriate, while auto-detection attempts to use the visitor's detected country.

# Address
The **Address** field is used when the respondent needs to enter the address

### Common uses
* What is your current address?
* Where are you currently located?
* What is your residential address?
* What is your preferred work location?
* Where should we send the documents?
* What is your office/business address?

# URL
The **URL** field is used when the respondent needs to enter a short, single-line answer.

### Common uses
* LinkedIn profile URL.
* Portfolio URL.
* Personal website URL.
* GitHub profile URL.
* Company website URL.
* Please share a link to your latest project.

# Date
The **Date** field allows respondents to select a date.

### Editable settings

| **Date Picker Variant** | Controls the available date-picker presentation |

| **Width** | Half or Full |

### Date Picker Variant
Available variants include:
* **Default**
* **Compact**

### Allowed date values
You can control which dates are selectable:
* **Future** — Allows future dates.
* **Past** — Allows past dates.
* **All** — Allows both past and future dates.

* **Delete**

Once you have added and configured all the questions, click **Save** in the top-right corner to save your form and all the questions you have added.

# Dropdown
The **Dropdown** field allows respondents to select one option from a list.

### Editable settings

The **Multi Select** field allows respondents to select multiple options.

A **Radio Group** provides multiple choices where the respondent can select **only one** option.

# Single Checkbox
A **Single Checkbox** represents one boolean/checkbox response.

For example:

# Divider
A **Divider** is a layout element used to visually separate sections of the form.

It does **not** collect a response from the respondent.

A Divider can be used to separate:

Because it is a layout element, it does not have settings such as Required, Placeholder, or Identifier.

# Heading
A **Heading** is a content/layout element used to display a heading within the form.

It does not collect a response.

### Content
The heading's displayed text can be edited.

For example:

> Tell us about yourself

### Important styling distinction
Heading content can be edited from its content configuration, while additional visual customization belongs to the form's **Style** settings where applicable.

The Heading element can also be:
* **Duplicated**
* **Deleted**

# Paragraph
A **Paragraph** is a content element used to display informational text.

It does not collect a response.

### Content
The paragraph text can be edited.

Example:

> Please provide the following information so we can help you with your request.

### Field actions
* **Duplicate**
* **Delete**

Paragraphs can be used to provide instructions, context, or additional information between questions.

# Header Settings
The **Header** section controls the introductory area at the top of the Routing Form.

It is separate from the individual fields.

The Header settings include:
* Title
* Subtitle
* Title Size
* Title Color
* Subtitle Size
* Subtitle Color
* Header Spacing
* Alignment

# Style Settings
The **Style** section controls the overall visual appearance of the Routing Form.

The available settings are grouped into typography, colors, form card, background, and layout.

## Font Family
Controls the font family used by the form.

# Form Card Settings
The Form Card settings control the appearance and spacing of the main form container.

## Background
Controls the background color of the form card.

## Border Radius
Controls how rounded the corners of the form card are.
A higher value produces more rounded corners.

## Padding
Controls the internal spacing between the form card's edges and its content.

Increasing the padding creates more internal space.

## Vertical Field Spacing
Controls the vertical distance between fields.

This allows the editor to make the form more compact or spacious.

# Form Background
The **Background Type** setting controls the background behind the form.

There are three options:
### None
No background is applied.
The form uses no additional background type.

### Color
Allows the editor to select a background color.

For example:

> Background Type → Color
> Color → `#1756D3`

The selected color becomes the form background.

### Image
Allows the editor to use an image as the background.
The editor enters the **URL of the image** they want to use.

For example:

> Background Type → Image
> Image URL → https://example.com/background.jpg

The specified image is then used as the form background.

# Form Width
Controls the overall width of the Routing Form.

For example, the builder may display a value such as:

> 1050px

Adjusting the width changes how wide the form appears on the page.

# Submit Button
The Submit section allows you to configure the text, colors, size, alignment, and shape of the form's submit button.

The Submit configuration is separate from:
* Individual field settings
* Header settings
* Overall Style settings

The submit button is the action users use to submit their completed Routing Form.

###### Button Text
Enter the text that should appear on the submit button. This text tells users what action will happen when they submit the form.

Example:
Submit
Send
Apply Now
Save
Register
Get Started

###### Background
Select or enter the color used for the background of the submit button.

You can enter a color value such as:
#2043FF
#FF0000
#00A86B

###### Text Color
Controls the color of the text displayed inside the submit button.

Examples:
White: #FFFFFF
Black: #000000
Dark blue: #1A237E

###### Border Radius
Controls how rounded the corners of the submit button are.

0px → square corners
6px → slightly rounded
12px → more rounded
50%/large value → pill-shaped appearance

###### Alignment
Controls the horizontal position of the submit button.

Available options:
Left — places the button on the left
Center — centers the button
Right — places the button on the right

###### Width
Controls the width of the submit button.

Available options:
**Auto** — button uses its default/content-based width
**Full** — button expands to the available width

### Now you can set up routing based on the answers provided by the booker.

**Routing** allows you to decide where a booker should be sent after completing the form. You can create rules based on their answers and automatically direct them to the **right event, custom page, or external website**.

For example, if a booker selects **Sales** as their requirement, you can route them to a **Sales Consultation** event, while someone who selects **Support** can be routed to a **Support** event.

|| Set up routing rules
After creating and designing the form, you can configure routing behavior from the **Routing** tab.

Routing determines where the booker is sent after completing the form based on their responses.

You can create specific routes or use a fallback route.

###### To create a route:

1. Click **Add a new Route**.
2. **Add rules:** Click **+ Add rule** to link a question to a value (e.g., "If **Years of Experience** is greater than 2").

3. With more than one rule, choose the logic under "For responses matching the following criteria":
* **All:** the booker must meet *every* rule.
* **Any:** the booker only needs to meet *one* rule.
* **None:** the route applies if the booker meets *none* of the rules.

4. **__Route Destinations__**
The **Send booker to** setting determines what happens when a route matches.

There are three destination types:

###### Custom Page
A Custom Page can display a message to the booker.

Examples:
* Thank You
* Waitlist
* Request Received
* We will contact you shortly

This is useful when the person does not need to immediately book an appointment.

###### External Redirect
An External Redirect sends the booker to another website.

For example, you may send them to:
* A company website
* A support portal
* An application page
* Another service

###### Event Redirect
An Event Redirect sends the booker directly to a specific Cal ID booking page/event.

For example:

> Career Counselling

A person who matches the relevant routing rule can be redirected directly to the Career Counselling booking page or any other that you chosen.

This removes the need for the booker to manually search for the correct event.

5. **Fallback route**
The **Fallback route** is used when a booker's responses do not match any of the configured routes.

If a booker does not satisfy any of the rules for Routes 1–3, they are sent to the fallback destination.

### No specific routes
If you do not need conditional routing, you can simply configure the **Fallback route**.

In that case, every booker who completes the form will be sent to the fallback destination.

# How Routing Works — Complete Example
Suppose you create a Routing Form called: **New Client Inquiry**

The form asks:
### Question 1
**What service are you interested in?**

Options:
* Sales
* Support
* Career Counselling

### Routes

**Route 1:** If Service = Sales

→ Send booker to **Sales Consultation**

**Route 2:** If Service = Support

→ Send booker to **Support**

**Route 3:** If Service = Career Counselling

→ Send booker to **Career Counselling**

**Fallback**

→ Send booker to **General Consultation**

The user completes the form, and Cal ID evaluates their response and sends them to the appropriate destination.

# Responses
The Responses section displays all submissions received through the routing form. It provides an overview of submitted responses, booking status, response details, filtering options, and tools for downloading or saving response data.

After people submit the form, you can view their submitted responses from the form itself.

### Response Summary

At the top of the Responses page, summary cards provide a quick overview of the form submissions.

**Total Responses**
Shows the total number of responses submitted through the form.

**Total Responses Without Booking**
Shows the number of responses that were submitted without a booking being created or associated with the response.

**Total Responses With Booking**
Shows the number of responses that have an associated booking.

### Response Table

All individual submissions are displayed in a table below the summary cards.

Each row represents one submitted response.

The table can contain columns based on the fields configured in the routing form.

**Booking Status**: Indicates whether the submitted response has an associated booking and shows its current booking status.
**Submitted**: Displays the date and time at which the response was submitted.
**Form Response Fields**: Each configured form field appears as a column in the response table, allowing submitted values to be reviewed directly from the Responses page.
**View Response**: An eye icon appears at the beginning of each response row.
Clicking the eye icon allows you to view the submitted response in more detail.

**Clear All Filters**: The Clear all filters option removes all currently applied filters and returns the response list to its unfiltered state.
**View**: The View option can be used to control how responses are displayed.
This can be used when you want to customize or manage the information shown in the response list.

**Download:** The Download button allows you to download the response data for external use or analysis.
**Date Filter**: The date filter allows you to restrict the responses displayed based on when they were submitted.
**Save**: The Save option can be used to save the current response view or configuration for later use.
**Segment:** The Segment option allows responses to be grouped or filtered based on selected criteria.
This can help you analyze specific groups of submissions.

**Rows Per Page:** At the bottom of the response table, you can choose how many responses are displayed on each page.

### How to Copy the Routing Form URL

You can copy the URL of your routing form in either of the following ways:

**Option 1: From the Details tab**
1. Open the Details tab of the routing form.
2. Locate the Form Link field.
3. Click the Copy icon next to the form URL.
4. The routing form URL will be copied to your clipboard.

**Option 2: From the More Options menu**
1. Click the three-dot (⋯) menu in the top-right corner.

### Can I Change the Form ID in the URL?

No. The form ID included in the routing form URL cannot be manually changed or customized.

The form ID is system-generated and is used to uniquely identify the routing form.
