# Cal ID Subscription & Pricing Plans

Cal ID offers plans for individuals and teams. Your subscription determines which features are available — advanced scheduling, team scheduling, branding, and other paid features. To view or manage your subscription, payment method, billing details, and invoices, go to **Settings →** [**Subscription**](https://cal.id/settings/billing).

|| Startup

Startup includes what you need to start scheduling professionally:

* Unlimited event types
* Availability schedules
* Unlimited calendar integrations
* Unified Calendar
* Unlimited email workflows
* Up to **10 SMS and WhatsApp workflow messages per month**
* Insights
* Webhooks
* API access
* Standard integrations (all apps except WhatsApp Business)

Not included in Startup: file attachments on booking, extended timezone availability, Routing Forms, Contacts, custom branding, WhatsApp Business, and team scheduling.

Business includes everything in Startup, plus:

* File attachments on booking
* Extended timezone availability
* Contacts
* Routing Forms
* Unlimited SMS and WhatsApp workflow messages
* Custom logo and favicon, and the ability to remove Cal ID branding
* WhatsApp Business integration and Book on WhatsApp
* Team scheduling — collective, round-robin, and managed events

Business costs **$10/user/month** billed monthly, or **$5/user/month** billed yearly (**$60/user/year**).

| Upgrade your subscription

1. Open your [Cal ID](https://cal.id/home) dashboard.
2. Go to **Settings →** [**Subscription**](https://cal.id/settings/billing).
3. Click **Upgrade**.
4. Choose **Monthly** or **Yearly** billing at the top right of the upgrade window.
5. Select the plan you want.

6. Choose the number of licenses to purchase.

7. Click **Upgrade to Business**.

8. Enter or confirm your billing information, then complete the purchase.

| View your subscription

The Subscription page shows your current plan and status. Depending on your account, you may also see your seats, subscription/expiration date, payment method, billing email, company and billing address, invoices, and available add-ons.

| Manage Business licenses

1. Open **Settings →** [**Subscription**](https://cal.id/settings/billing).
2. To increase licenses directly, click **Manage**.

3. To buy licenses, click **Add team members**.

4. Click **Buy more licenses** and complete the purchase.

| Monthly vs yearly billing

Paid plans offer both monthly and yearly billing where available. Business is **$10/user/month** monthly, or **$5/user/month** billed annually at **$60/user/year** — a **50% saving**. You can switch between Monthly and Yearly from the plan comparison screen when the option is available for your account.

| Team scheduling & paid-plan requirements

Team scheduling is a **paid-plan feature**. Every member who needs to participate in or access team scheduling must have an eligible paid seat/license. There are two ways to provide access:

1. The **team owner buys multiple seats** and assigns licenses to members.
2. A member **upgrades their own account** to an eligible paid plan.

A member without an eligible paid plan cannot participate in team scheduling like a licensed member.

|| Assign, reassign, or revoke licenses

A team owner can buy multiple seats and assign one to each member from the Subscription or team management settings. To move a seat, revoke it from one member and assign it to another eligible member.

To revoke a license, use either path:

**From Subscription:** open **Settings →** [**Subscription**](https://cal.id/settings/billing), find the member, and remove them.

**From Teams settings:** open **Teams → Members**, find the member, click the **three-dot menu**, and select **Revoke License**.

Revoking a license removes that member's paid-plan access. It does not delete their account.

| Team event types & paid-plan requirements

Cal ID supports three team event types — **Round Robin**, **Collective**, and **Managed** — each with paid-plan requirements. In every case, the event becomes unbookable for **new bookings only**; **existing bookings are never cancelled or deleted**. To fix it, license the affected host or remove them from the event.

|| Round Robin

Round Robin distributes bookings among assigned hosts. Only hosts with an eligible paid plan receive Round Robin bookings — an unlicensed host is skipped, and the configuration shows a warning.

If the event uses one or more **Fixed Hosts**, every fixed host must be licensed — a fixed host attends every booking, so if one is unlicensed, no times can be offered for the event.

|| Collective

Every host on a Collective event must have an eligible paid license. If even one is unlicensed, the event won't accept new bookings until they are.

|| What each viewer sees

When a fixed-host or collective event is blocked by an unlicensed host, the message differs by who's looking:

* **Team members** see the specific host who needs a license and how to fix it (in the event's **Team** tab and on the booking page).
* **External visitors** see only a generic message using the team's name — for example, *"This event isn't accepting bookings right now. Try another event, or check back later."* — so internal licensing details stay private.

|| Managed events

Managed team events follow the same rule: if a required member is unlicensed, that event's public booking page won't be available until they have the required paid access.

|| Team access

Even a member who isn't assigned as a host needs an eligible paid license to access team bookings and team scheduling information, according to the team's permissions.

| Downgrading to Startup

If a team moves to the **Startup (free)** plan, paid team scheduling (round-robin, collective, managed events, and team configuration) is disabled while on Startup — but the team configuration is **not deleted**. Returning to an eligible paid plan restores it intact, with no need to recreate anything.

Downgrading also does not affect:

* **Personal booking** — it's separate from team scheduling and keeps working under Startup's features.
* **Existing bookings** — they're not deleted, and you can still reschedule or cancel them. Only new bookings that depend on paid/team functionality become unavailable.

| AI Notetaker add-on

**AI Notetaker is a separate paid add-on** — not included with any plan. A Business or other paid plan does not include it; you purchase an AI Notetaker subscription/license separately, and can buy multiple licenses for multiple users.

|| Purchase AI Notetaker

From the upgrade screen: open **Settings →** [**Subscription**](https://cal.id/settings/billing) **→ Upgrade**, select your paid plan, find **Add AI Notetaker**, choose the number of seats and billing option, and complete the purchase.

If you only need the add-on, use the **Add or Upgrade** option shown next to AI Notetaker on the Subscription page. AI Notetaker licensing is separate from the base plan.

| Payment, billing & invoices

|| Payment method

The Subscription page holds your payment information. On Startup with no paid subscription, you may see **"No card on file."** A payment method is required to buy a paid plan or add-on.

Edit your billing email, company name, and billing address in the **Billing Details** section.

|| Invoices and receipts

Invoices appear in the **Invoices** section after a paid charge. The page also shows the email where billing receipts are sent.

| Common questions

||| Is the Startup plan free?
Yes. Startup is Cal ID's free plan.

||| Is team scheduling available on Startup?
No. Team scheduling is a paid-plan feature. Members who need it must have an eligible paid license.

||| Does every team member need a paid plan?
Every member who needs paid team scheduling access needs an eligible license. A team owner can buy multiple seats and assign them.

||| Can I reassign or revoke a team member's license?
Yes. Revoke it from the Subscription page or from **Teams → Members → three-dot menu → Revoke License**, then assign the seat to another eligible member.

||| What happens if a Round Robin host isn't licensed?
That host won't receive Round Robin bookings, and the configuration shows a warning. If a **fixed** host is unlicensed, the event can't offer any times until they're licensed or removed from the fixed hosts.

||| Does every host in a Collective event need a paid plan?
Yes. If any assigned host is unlicensed, the event can't accept new bookings and shows the relevant warning.

||| What happens to my team if I downgrade to Startup?
Paid team features are disabled while on Startup, but the team configuration is retained and restored when you return to an eligible paid plan. Existing bookings and personal booking are unaffected.

||| Is AI Notetaker included in Business?
No. It's a separate paid add-on requiring its own license in addition to your base plan.

||| How much does AI Notetaker cost, and how do I buy it?
+$8 per seat/month or +$80 per seat/year (2 months free). Buy it at **Settings →** [**Subscription**](https://cal.id/settings/billing) **→ Upgrade → Add AI Notetaker**, or from the option next to AI Notetaker on the Subscription page.
